2. Set up/ Teardown your booth

All booths will be set up at Ballroom D, Beanfield Centre, Exhibition Place Toronto. Ballroom D is adjacent to the symposium room and close to other seminar rooms. The exhibition hall will be available one day before the Congress (from 10:00 am to 5:00 pm on Friday, June 2, 2023) for sponsors/exhibitors to set up their booths.
The teardown can be started from 6:00 pm on Sunday, June 4, 2023 and at this time, all boxes and packages must be collected by 11:59 PM on Sunday, June 4, 2023, after the event.


We expect more people to be there on the floor during the break times between the presentations. So, we highly recommend that you make sure your staff is available all the time, especially during break times.


3. Pipes and Drapes

5. Shipping information

We have outlined the shipping guidelines for our exhibitors to ensure a smooth process for setting up your booths. Please review the following instructions carefully.

Local Exhibitors (Move-In Day Equipment Delivery):
Local exhibitors may bring their equipment on move-in day and set up in their designated booth. Please schedule your arrival for mid-day to allow OPS Rentals time to set up the pipe & drape packages. This option is primarily for exhibitors who can easily drive to the venue.

Out-of-Town Exhibitors with Small Wares:
If you have small parcel boxes (e.g., pamphlets, collateral, banners, and backdrops that fit into a rolling case), please use the provided shipping label to send your materials to the venue. Shipments should arrive no earlier than 2 business days before the congress. Make sure to coordinate delivery targets with your chosen courier, as we cannot accept packages before this time due to limited storage.

Exhibitors with Large Wares:
Exhibitors with pallets, crates, or large items that cannot be delivered directly to the venue on load-in date must freight forward and warehouse their items with OPS Rentals in advance. Ship your items to the OPS Rentals warehouse, where they will be stored and later delivered to the site along with your pipe and drape kit. OPS Rentals will place your items within your booth prior to your arrival. Please note that there is a fee associated with this service, and logistics must be arranged with Irene in terms of timelines.

We cannot accept freight deliveries directly at the venue due to limited storage and processing capacity. The venue is not staffed when we are not hosting events or meetings.

7. Food and refreshments

Please note that refreshments are permitted in specific circumstances during the upcoming event. Generally speaking, there are two paths to consider:

  1. Food and Beverage can be ordered and facilitated through Cerise Fine Catering, as they hold exclusivity over food items in the venue. Coffee service or a bar service from the booth is facilitated by banquet staff.
  2. Sampling from the booth requires approval after filling out a sampling form completed by the exhibitor. The sampling provisions require bite-sized portions (e.g. 30ML/30G).

8. Your Staff

Please submit your staff information (first name and last name) in the form below no later than May 10, 2023.


9. Your customers

The CBAM team (events@cbamedicine.com) will send the discount coupons (if not sent yet) to all the Sponsors according to their level of Sponsorship. You can provide these discount coupons to your customers in order to receive the discount to attend the event. 


10. Your advertising materials:

On the first day of the event (Saturday, June 3), during registration, we will provide each attendee with a handbag containing advertisements from our sponsors. If you would like your advertising materials to be included in the attendee’s bag, please bring them to the venue on the exhibition’s booth setup day on Friday, June 2, 2023, and deliver them to the CBAM event logistic team.
Please note that only one printed advertising item per company can be placed in each attendee’s bag.

12. Gala dinner (Gold sponsors)

Please check this page for more updates regarding the Gala dinner event which will be held on Saturday, June 3, 2023 evening.

Gold sponsors who intend to participate in the Gala dinner event and use their two free tickets, kindly contact us via email at events@cbamedicine.com to register their names. Remember, the cut-off date for names submissions is May 25th.

Offering 5,800 parking spaces located adjacent to one of Toronto’s main highways, the Gardiner Expressway, including 1,300 underground. A convenience very few venues can offer!

We are enhancing the signage in our lots in order to better serve you!

Road Closure – 2:00 am – 4:30 pm
The City of Toronto will be closing Gardiner Expressway and Don Valley Parkway to facilitate the Bike for Brain Health Marathon. Access will not be available on the west side of Exhibition Place. Please access the property from the east side from Lakeshore Blvd or King Street

Note: Increase traffic density expected throughout the Downtown Core; please provide time and patience while navigating the city roads. Recommended to use Google Maps, Waze or similar technologies to predict traffic and streamline your drive to Exhibition Place.

* Note: Some GPS software platforms will not recognize city road closures. Please check your routing to ensure your software is not taking you on the Gardiner Expressway or DVP or through other interior roads at Exhibition Place

Accessible Parking

Exhibition Place provides a total of 88 accessible parking spaces throughout all of its surface parking lots and indoor garage. All spaces are located near the entrances to the lots and/or close to the pedestrian access points to buildings and event spaces. Regular parking rates apply.

Hybrid Vehicle Parking Spaces

A total of 14 parking spaces are provided exclusively for energy-efficient hybrid electric/gasoline vehicles. These preferred spaces are located in Lots 852, 852, 853 and 854 and the indoor garage, in close proximity to the wheelchair-accessible spaces. The preferred location of the hybrid spaces recognizes the contribution that owners are making towards lowering emissions, and the use of the spaces is left to the discretion of drivers. Regular parking rates apply.

Electric Vehicle Charging Stations

Charge your electric vehicle in the underground parking garage at Enercare Centre. Look for the green ‘Electric Vehicle Charging Station’ signs in the underground parking lot: on the west, and north side of Hall D (green zone); south side of Hall B (blue zone); north and south side of Hall A (red zone). Regular parking rates apply.

Parent and Child Parking

A total of 5 parking spaces are provided for the exclusive use of parents with small children and/or strollers. These are located in the indoor garage, and in Lots 851 and 853, near the accessible and hybrid parking spaces, with easy access to the buildings and event space. Regular parking rates apply.

Before and After the Congress

Here is the list of Pre and post-event services offered for CBAM sponsors. These services start from the date of the purchase of the Sponsorship and will mostly continue to the end of 2023. Click here to see the levels of sponsorship


2. Promote yourself in CBAM courses (Gold Sponsors)

You can have a presence physically in our courses in Canadian cities or as a short video advertisement in our live virtual courses.

Please fill out the form below if you would like to attend either our physical courses or send us a pre-recorded video for being played before our virtual sessions. 


3. Journal advertisement

You can advertise your products or services in upcoming CBAM journal(s), which will be received and viewed by all CBAM members

You can send us your materials with these Specifications (you can send an image, article or both):

  • The image must be in the format of .png or .jpeg and in a letter-size (8.5*11 inches)
  • The articles must be either half-page with 100 to 150 words or a full page with 200 to 300 words

The CBAM journals are published every 3 to 4 months and they will be available online. The next Journal issue date is July 30, 2023, and the deadline to submit materials is on July 20, 2023.

4. Webinar with CBAM (Gold Sponsors)

You can arrange a webinar with CBAM hosts to promote your services and produces with one of your speakers if your sponsorship level allows. The length of this webinar is 60 minutes. We will advertise these webinars usually 3 weeks in advanced for our members to attend live. These webinars will also be recorded and available for all CBAM members to watch at a later date if they did not attend the live sessions.

5. Full designated page of your company on the CBAM website (Gold Sponsors)

You can have one full designated page on our website for your company including the description of all your products and services along with any promotional materials as well as the contact information of all your representatives in Canada. Please note if you do not send us the information to build this page, we can redirect your logo on our website to the homepage of your site or to any link you share with us.


6. Promotion in the CBAM Online Platform (Gold Sponsors)

The sponsors can advertise their products or services on hundreds of pages of the CBAM online platform (CBAM LMS). This is the platform where the CBAM students review lessons before attending the practical courses. This is an amazing place that companies can promote themselves.

Here is Ads size specs for the pages on this platform: 

  • Leaderboard (728×90 pixels). This banner ad is located at the top or bottom of the page and stretches across the width of the page.
  • Banner (468×60 pixels). A banner looks like a smaller leaderboard. It is often located at the top or bottom of a page.
  • Medium or Large Rectangle (300×250 pixels) or (336×280 pixels). The rectangles are boxlike ads that are placed in between different sections of text.
  • Skyscraper or Wide Skyscraper (120×600 pixels) or (160×600 pixels). A tall ad that will run down either side of the page.

7. Email blast to 4500+ targeted email addresses (Gold Sponsors)

We have promotional email blasts which are sent out to all members on a monthly basis. If you want to be included in these email blasts, you are required to send us the advertisement materials as a picture or video that we can include in the emails.
